Optional Clubessential Services

Clubessential has designed its products and services to be as efficient and cost effective as possible.  Most Clubessential clients can maintain their websites themselves because of the easy to use tools provided.  However, there are always situations where a club may need to receive an extra level of service.  For example, there may have been high turnover within the club staff, or perhaps a new website is being launched just as many other activities are taking up the time of the adminstration.  In addition, certain clubs may want to outsource some aspects of the management of their Internet communication channel to ensure the highest level of service.

Clubessential will provide custom consultation to such clients on an as needed basis, or in the form of defined services as follows:

Initial Content Loading

CE’s Studio Design Group and Client Services team will load a new website, or completely reload an existing website, with content provided by the Client.  CE’s team will refine the information architecture (navigation and sequencing of pages), and will edit, organize and artistically display the content provided by Client, making optimum use of the capabilities of the Axis product  features.  The result will be a cohesive, well designed website that has a uniform appearance in keeping with the Client’s branding and that illustrates how the Axis tools should be used.  Client’s administrator(s) can then proceed to maintain the website, adding new content in conformance with the standards established with the Content Loading.

Ongoing Content Management

Content Management requires an initial Content Loading as described above.  The Client Services team will, on a weekly basis, solicit, organize, edit and post to the System any content provided by the Client in electronic format (All content is to be provided by the Client).  Such content may including postings in calendars (with event registration), in news kiosks, announcement areas, facility descriptions, photo collages, staff news and any other editable areas of the Web site.
  
Clubessential will design the graphical layout of email templates and organize the distribution of the emails to appropriate member groups (Client will provide all content for these emails, all the definitions of the member groups, and will ensure that the data required for group selection is stored in the online roster database.).

Communication Management

Some clients may want Clubessential to perform the marketing functions associated with the website.  Clubessential will organize the use of the tools included with Axis to improve Client’s member communication, including the following:

• Clubessential will design a program to obtain and maintain a current list of member email addresses.
• Clubessential will assist the Client in the design of an effective email communications plan.  This may involve one or more weekly thematic emails, such as the ”Weekend Specials” or the “GM’s NewsWire”.  Clubessential will monitor the actual emails sent and report on the effectiveness of the email communications plan.
• Clubessential will assist Client in the design of an effective polling/survey plan.  Clubessential will design the actual questions and execute the sending of surveys at the appropriate time to the appropriate groups of members, and provide reports of the results.

Manual Search Engine Tuning

Clubessential's Axis product includes many automatic features for optimizing the placement of Client's websites in online searches.  For most clients this level of Search Engine Optimization will be sufficient, especially if the Client makes a modest attempt to "tune" the website content to emphasize certain search phrases.

For Clients who need the last 20% of search engine effectiveness, Clubessential offers Search Engine Tuning.

Clubessential will first investigate and refine the key words and phrases which will provide the optimum search results for Client, taking into account competitive pressures and likely search phrases used by searchers.  Benchmarks will be taken to determine the Client’s level of search engine optimization prior to tuning.  Clubessential will review all of the content of the Client’s website, making adjustments that do not change the essence of the content but that optimize the ranking of the desired phrases for search engines.  Manual Search Engine Tuning should be repeated about once per year to adjust for refreshed website content.
