The Axis roster expands into a full marketing database that can be grouped, filtered, searched and reported from. A wide variety of interfaces import and export data.
- Over 100 fields can be re-labeled for any use.
- Client designed layout – up to four columns with up to 8 fields per column.
- Member pictures can be uploaded by staff or members – thumbnails can be displayed in the directory listing.
- Members can increase privacy by choosing to hide certain data (or all data) from other members.
- Reporting (or exporting) of member profile updates such as email address changes, for any range of dates.
- Staff and members can create advanced directory searches involving combinations of data from any fields. For example, find all the Yale graduates from the class of 1970.
- Flexible report writer with Excel export.
- Inclusion rules can include Roster data in defining Dynamic Groups for communicating to or exporting data on members based on their profiles (see also Communication/Email).

A member's first sign-in is an important event, and an excellent time to capture and verify key member profile information. Clubessential provides a customizable Sign-In Wizard that allows a club to ask various questions on initial sign-in. It also includes an Opt-In Group station, so that members can review what "clubs within the club" they might want to be informed about.
The Sign-In Wizard can also take advantage of Snippets, to personalize the display with current settings for various data items for the member signing in. If, for example, the accounting system at the club has an error in the mailing address for the member, it would be obvious to them when they first signed in, and could be corrected.
Any time a website or email communication can be personalized with data uniquely relevant to the recipient, the communication is friendlier and achieves better results. Clubessential's Snippet technology allows club administrators to embed personal data on any webpage or in any email.
- Embed data from the member's personal profile
- Embed data from the member's billing statement
- Embed other special items, such as dates, fragments of the member ID, etc.
An email example: Send an automatic email on the 20th of each month encouraging members to use up their monthly minimums before the end of the month. The mailing will be restricted to the group of members who have a positive "minimim" balance. The email can mention the member by name, the date that is the end of the month, and the amount of the minimum balance. Each time the mailing is sent, the specific member will be greeted and the month and amount will change automatically because they are Snippets.
A webpage example: An item on the navigator could be set up entitled: "Your Addresses". On that page, using Snippets, two addresses will be shown, pulling data from the Roster. Whenever a member signed in and went to this page, they would see their own personal addresses. A form could be attached allowing a member to submit changes to the addresses.
Some organizations want their members to interact by looking each other up through a keyword rolodex. Clubessential’s YellowList allows members to create their own profile information and categorize it however they wish.
- Classified listing by name, keyword, and category.
- Members can see services and professionals available from within the membership.
- Can include branding graphics added by administrators
